Hours of Work: Flexible / 80 hours bi-weekly (ability to work days, evenings & some weekends is a requirement)
Pay Range: $28.69 - $31.38 per hour
Initial Location: Campbellford, Ontario

The successful candidate will provide high-level administrative support to the Executive Director and the senior management team while also leading key marketing, social media and technology functions. This role ensures seamless daily operations by preparing meeting materials, coordinating communication distribution and handle confidential information with discretion and professionalism. In addition to administrative responsibilities, this role contributes to organization growth by maintaining a consistent and engaging social media presence by developing marketing and promotional content for Inclusion Northumberland and the Campbellford Community Resource Centre. The position also assists with basic software setup, troubleshooting and liaison work with IT or software vendors to ensure efficient use of organizational tools and platforms.
The ideal candidate is highly organized, proactive and tech savvy with strong attention to detail, excellent communication skills and the ability to balance multiple priorities in a fast-paced environment. This position will require the candidate to possess a great deal of flexibility, above average problem-solving skills and the ability to work both independently and as a team.

Summary of Responsibilities (including but not limited to):
- Provide administrative support for monthly Board Meetings and Annual General Meetings
- Preparation and distribution of materials for organizational events
- Assist with the coordination of conference or training registrations, including travel arrangements
- Develop and maintain office systems, including data management, digital filing and document control
- Produce professional documents, presentations, newsletters and e-bulletins within established deadlines
- Monitor and order office supplies and manage office space scheduling to meet operational needs
- Conduct research and prepare reports, correspondence and statistical summaries
- Assist with planning, preparation and distribution of materials for internal and external meetings, special projects and organizational events
- Support organizational marketing and promotional activities, ensuring alignment with brand guidelines
- Manage social media content, including drafting, scheduling and monitoring engagement on various platforms
- Assist in maintaining website and digital content and support advertising campaigns
- Track data and analytics to support marketing improvement and reporting
- Assist with software setup for new users, including account creation and basic troubleshooting
- Coordinate with IT support providers or software vendors to resolve technical issues
- Actively contribute as a positive and professional member of the Inclusion Northumberland Management and Administration Team
- Work with both internal and external committees, as required
- Ensure an orderly, safe and clean working environment
- Other duties as assigned
Qualifications:
Ideal candidates will have a degree/diploma from a recognized university or college in a related business administration and marketing discipline or the skills and work experience diverse enough to be considered equivalent. The candidate will also have significant knowledge of/experience with:
A minimum of 3-5 years of Executive Assistant experience within the nonprofit sector
- Experience in preparing grant applications, delivering presentations, managing projects and basic software setup and troubleshooting
- At least 2 years’ experience in office coordination or marketing/communication roles is an asset, including maintaining social media presence and supporting marketing campaigns.
- Proven history of good standing with above average attendance record, proven history of above-average performance and a demonstrated commitment to an Organization’s Mission, Vision, Values and Principles
- Advanced proficiency in Microsoft Office Suite, graphic design platforms and digital collaboration tools
- Strong familiarity with general office equipment and communication systems
- Ability to maintain flexibility with changing schedules to meet the needs of the Organization
- Demonstrated ability to adhere to administrative expectations and timelines
- Proven ability to maintain a professional attitude and handle stressful situations
- Exceptional interpersonal, oral and written communication abilities
- Strong organizational, risk assessment, time management and problem-solving skills
- Able to maintain confidentiality and conduct work within appropriate privacy standards
- Demonstrated positive attitude, initiative and team spirit
- Ability to work both independently and as part of a team with minimal supervision
- Experience working with diverse populations
- Demonstrated leadership and mentoring abilities
- Proven ability to manage multiple tasks and competing priorities independently
- Must have a reliable vehicle for the purpose of work, a valid Ontario Class G Driver’s license, an acceptable Driver’s Abstract and automobile insurance coverage of at least $1 million for third party liability
- Current Standard First Aid – Level C CPR, NVCI and up to date required in-house training
